    Introduction

    In addition to standard hyperlinks in your campaign or template content, gCast has its own functionality for tracking click-throughs on hyperlinks. A trackable link, when inserted into your campaign, will track the number of hits (the number of clicks by recipients) and instances (the campaigns that have had the trackable link included in their content). Additionally, you can drill through on a particular trackable link and gCast will show you the individual recipients that clicked, and how many times each individual clicked on that link. Trackable links will accept your UTM codes for Google Analytics purposes, giving you even more tracking ability.

    gCast’s trackable links enable you to add in URLs or files (such as pdf documents) and you can create them on the fly when creating or modifying your campaign or template or ahead of time in the trackable links administration area (for use in future campaigns). If your gCast account plan allows, you can even have your gCast campaigns convert standard hyperlinks in your content into trackable links as the campaign processes and sends to your recipients.

    Who can use trackable links?

    Trackable links are a standard gCast feature for gCast accounts, if you don't see a 'Make all links trackable' checkbox to the right of the campaign layout when creating or editing a campaign, please contact gCast support to organise this to be switched on for you.

    How do I create a new trackable link?

    The trackable links administration area can be found in gCast by clicking on the ‘Admin’ link at the top of the gCast landing page then, in the ‘Resources’ area, click on the ‘Special Links’ link, then click on the ‘Trackable’ tab. If you have any automatically-created trackable links from campaigns, you’ll see them listed on this page too.

    To create a new trackable link, click on the ‘Add new link’ button at the end of the existing list of links, select the type of link you want to create (URL or file) in the ‘Link type’ area1.

    You can also create trackable links 'on the fly' when creating or editing a campaign. Please follow the links at the end of this article for more information on creating trackable links on the fly.

    How do I create a new URL trackable link?

    Enter in the destination URL for your link (this is the webpage or site that you want your readers to visit when they click on your link) into the 'Link url' field.

    Enter in the 'Code' and 'Desc' for your trackable link. These field names will only be seen by gCast users (not campaign recipients). The 'Code' field is what you would see in the import mapping area of gCast and the 'Desc' is what you would see in the 'Trackable links' list pages. It is common for gCast users to give these fields the same name as each other to avoid confusion.

    Enter in the 'Text' for your trackable link that you want to use in a mouse-over operation or as the text in your content - your campaign recipients will be able to see this text so it is advisable to make this meaningful to someone outside of your organisation2.

    You can assign an image from the gCast Image Gallery or from an externally hosted site in the 'Image URL' field and over-ride the original image size by entering width and height (pixels) dimensions accordingly3 4.

    Click on the 'Save' button to save your trackable link.

    How do I create a new file trackable link only:

    Click on the 'Choose File' button and browse to the location where your file is stored (note there is a restriction on file size to a maximum of 4MB).

    Enter in the 'Code' and 'Desc' for your trackable link. These field names will only be seen by gCast users (not campaign recipients). The 'Code' field is what you would see in the import mapping area of gCast and the 'Desc' is what you would see in the 'Trackable links' list pages. It is common for gCast users to give these fields the same name as each other to avoid confusion.

    Enter in the 'Text' for your trackable link that you want to use in a mouse-over operation or as the text in your content - your campaign recipients will be able to see this text so it is advisable to make this meaningful to someone outside of your organisation2.

    What is a 'Snapshot' trackable link?

    Snapshot trackable links are incredibly useful where your destination URL content is regularly changing/updating - such as a news site, or a morning/afternoon online bulletin board. They are only available for URL link types.

    A snapshot trackable link will poll the destination URL periodically (every 15 minutes at time of writing this article) and update the snapshot in campaign content accordingly.

    How do I create a snapshot trackable link?

    Enter in the destination URL for your link (this is the webpage or site that you want your readers to visit when they click on your link) into the 'Link url' field.

    Click into the 'Snapshot' checkbox so that the checkbox becomes ticked.

    Enter in the 'Code' and 'Desc' for your trackable link. These field names will only be seen by gCast users (not campaign recipients). The 'Code' field is what you would see in the import mapping area of gCast and the 'Desc' is what you would see in the 'Trackable links' list pages. It is common for gCast users to give these fields the same name as each other to avoid confusion.

    Enter in the 'Text' for your trackable link that you want to use in a mouse-over operation or as the text in your content - your campaign recipients will be able to see this text so it is advisable to make this meaningful to someone outside of your organisation2.

    You can assign an image from the gCast Image Gallery or from an externally hosted site in the 'Image URL' field and over-ride the original image size by entering width and height (pixels) dimensions accordingly3 4. An image inserted via the 'Image URL' will over-ride the snapshot behaviour of updating the content periodically.

    Click on the 'Save' button to save your trackable link.

    How do I create a new trackable link by copying an existing one?

    You can copy existing trackable links if by clicking on the 'Copy' button once you're on the 'Trackable' tab in the 'Special Links' area. After selecting which trackable link you want to copy, you may need to enter a new 'Code' as trackable link codes must be unique. By clicking on 'Save & return to list' or 'Save & edit new Link' button you can save a new version of an existing trackable link. 

    How do I edit a trackable link in gCast?

    To edit a trackable link, click on the ‘Admin’ link at the top of the gCast landing page then, in the ‘Resources’ area, click on the ‘Special Links’ link, then click on the ‘Trackable’ tab. If you have any automatically-created trackable links from campaigns, you’ll see them listed on this page too.

    All trackable links will be displayed in the form of a list. Locate the trackable link that you want to edit and then click on the 'Edit' link to the far right of the link details. 

    How do I delete a trackable link in gCast

    Only trackable links that haven't been included in a campaign can be deleted. Trackable links that have been included in a campaign can, however, be archived.

    Click on the 'Admin' link at the top of the gCast landing page then, in the 'Resources' area, click on the 'Special Links' link, then click on the 'Trackable' tab and locate the trackable link you want to delete.

    If the link hasn't been used in a campaign you'll see a trashcan  icon next to it. Click on the trashcan icon and click 'OK' to confirm the deletion.

    If the link has been used in a campaign you'll see an archive icon next to it. Click on the archive icon and click 'OK' to confirm the archiving. You'll notice a 'Display archived links' checkbox at the top of the 'Trackable' tab which you can click onto to show all archived links. If you don't have any archived links, this checkbox won't be visible at all.

    Notes:

    1. we recommend that you use the destination URL rather than a URL that redirects. Redirecting URLs can affect your recipients’ ability to get to your destination URL
    2. The 'Code' and 'Desc' fields are the only fields that are mandatory when creating a new trackable link of any kind, although we would recommend that you insert either a URL or a file as well ;)
    3. The 'Points', 'Points start date', and 'Points end date' fields are for Rewards users only and should be ignored unless you are a Rewards user.
    4. gCast users in a parent/child hierarchy will see sharing and 'push down' options if creating a trackable link at a parent account level. If you are not in a parent/child hierarchy you will not see these options at all
