Copying Assets to Child Accounts in gCast

    This article is useful for gCast users that have a Parent/Child hierarchy, have access to a child account in that hierarchy, and have assets that they want to copy from the parent account to the child account. The article is also useful for gCast users in a Parent/Child hierarchy that have access to their parent account's shared assets.

    Introduction

    In a gCast Parent/Child hierarchy, child accounts have the ability to copy down various assets from their parent. By using 'Copy' you can cherry-pick assets that are shared by the parent account for general use by their child accounts and create a brand new stand-alone copy of that asset at the child account level. If the original asset in the parent account is modified at a later date, the copy made in the child account will not adopt those modifications.

    Copying an asset is not the same as pushing down to or sharing an asset with child accounts. For more information on pushing down and sharing assets with child accounts in gCast please follow the links at the end of this article.

    Parent/Child hierarchies also have the ability to provide copies of assets to child accounts 'in bulk'. Follow the link for 'Pushing down assets in gCast' at the end of this article for more information.

    Who can copy down assets?

    Any child account can copy down assets from a parent account if those assets that have been shared with the child account by the parent account.

    Which assets can you copy down?

    The assets that you can be copied down by child accounts in a hierarchy include:

    • Campaigns
    • Templates
    • Surveys
    • Demographics
    • Trackable links

    How do I copy down a campaign to a child account?

    To copy down a campaign from a parent account to a child account, either login to gCast using credentials for the child account or administer the child account by selecting that child account from the partner search field on the main gCast landing page then click on the 'Create' tile.

    On the next page, click on the 'Copy' tile to display a list of available campaigns.

    gCast will list all of the child account's own campaigns (categorised by their status: inactive, active, and completed) and underneath the child account's campaigns you will see 'Shared campaigns of....' representing the shared campaigns of the parent account. In a complex hierarchy it might be possible that multiple 'parent' accounts' shared campaigns are listed here.

    Expand out the appropriate category to see the list of available parents' shared campaigns and click on the campaign that you want to copy down.

    Review and modify (if necessary) the 'Title', 'Subject' line, and from and to details of the campaign.

    Click on the 'Save & return to list' button to save the new copy into the child account and return to the previous list to copy down more campaigns or click on the 'Save & edit new campaign' to modify content and other settings of the new campaign.

    How do I copy down a template to a child account?

    To copy down a template from a parent account to a child account, either login to gCast using credentials for the child account or administer the child account by selecting that child account from the partner search field on the main gCast landing page then click on the 'Template Library' tile.

    On the next page, gCast will list all of the child account's own templates and categories and underneath the child account's templates and categories you will see the parent account's shared templates and categories. In a complex hierarchy it might be possible that multiple parent accounts' shared templates and categories are listed here, categorised under the parent account's name as a heading.

    Browse to the category that contains the template you want to copy down and click on the 'Edit' link underneath the template thumbnail. You can save some time by clicking on the "Copy this category and it's templates to your main library' link located underneath the last row of templates in a particular shared template category. This will copy all of the shared templates in this category down to the child account and will also create the category in the child account, placing the new template copies in that category automatically.

    Make the modifications you require and then click 'Save as your own' to copy the template down to the child account.

    How do I copy down a survey to a child account?

    Surveys belonging to parent accounts cannot be individually copied down by a child account. They can, however, be pushed down from the parent account to the child account if required. For more information on pushing down assets please follow the links at the end of this article.

    Questions in surveys belonging to parent accounts can be individually copied down by a child account. For more information on this, see the 'How do I copy down a demographic question to a child account' section in this article.

    How do I copy down a demographic question to a child account?

    To copy down a demographic (or survey) question from a parent account to a child account, either login to gCast using credentials for the child account or administer the child account by selecting that child account from the partner search field on the main gCast landing page then click on the 'Admin' link on the menu bar.

    In the 'Member Database' area, click on the 'Demographics' link.

    Click on the link for the demographic category that contains the demographic you want to copy down to the child account.

    On the next page, click on the 'Questions' tab and then click on the 'Copy question' link (located at the end of the list of demographics).

    In the 'Select where to locate the question(s)' area at the top of the page, gCast will list all of the available accounts that have demographic questions that can be shared. The child account is listed first and any other shared accounts' categories are listed underneath. In a complex hierarchy it might be possible that multiple 'parent' accounts' shared campaigns are listed here.

    Expand out the appropriate account name in the menu to see the list of available shared demographics (you'll notice there's a 'Survey' category also) then click on the category to display the list of questions available for copying.

    Click into the checkbox next to the question you want to copy down to your child account (you can select multiple questions if you want) and then click the 'Copy' button. The questions will be copied down to the child account. Click 'Save' to finish the copy process.

    How do I copy down a trackable link to a child account?

    To copy down a trackable link from a parent account to a child account, either login to gCast using credentials for the child account or administer the child account by selecting that child account from the partner search field on the main gCast landing page then click on the 'Admin' link on the menu bar.

    In the 'Resources' area, click on the 'Special Links' link then click on the 'Trackable' tab.

    Click on the 'Copy' link (located above the list of trackable links).

    In the 'Locate and select the item to copy' area at the top of the page, gCast will list all of the available accounts that have trackable links that can be copied. The child account is listed first and any other shared accounts are listed underneath. In a complex hierarchy it might be possible that multiple 'parent' accounts are listed here.

    Expand out the appropriate account name in the menu to see the list of available shared trackable links, click on the name of the trackable link you want to copy then edit the 'Code' and 'URL' fields. Click on the 'Save & return to list' button to save the new copy into the child account and return to the previous list to copy down more trackable links or click on the 'Save & edit new link' to modify content and other settings of the new campaign.
